Privacy Policy
Last updated: 19 October 2026
This policy explains how Axel Media collects and uses personal information. Axel Media is the trading name of Thomas Chetwood, a sole trader based in England ("we", "us"). We are the data controller for the information described below. Contact us about anything in this policy at tom@axelmedia.co.
Information we collect
| Who | What we collect | Where it comes from |
|---|---|---|
| People who book a call or fill in a form on our website | Name, business name, email, phone number, and anything you tell us in the form | You |
| Clients | Contact and business details, billing details, access details for accounts we manage for you, and messages between us | You, and Stripe for payments |
| Businesses we contact about our services | Business name, owner or contact name, business phone, business email, website, location and public review information | Public sources such as Google Maps, business websites and Companies House |
| Website visitors | Basic technical information such as browser type and pages visited, through essential cookies | Your browser |
How we use it and our legal basis
- To reply to you and run sales calls you book: to take steps you asked for before a contract, or our legitimate interest in responding to enquiries.
- To deliver services to clients and take payment: to perform our contract with you. Card payments are handled by Stripe; we never see or store your full card number.
- To contact businesses that may benefit from our services: our legitimate interest in promoting our business to other businesses. We only use business contact details, we keep messages relevant to the business, and every message tells you how to opt out. We only email limited companies and similar organisations without prior consent. We check phone numbers against the Telephone Preference Service (TPS) and Corporate TPS before calling.
- To keep records for tax and accounting: to meet our legal obligations.
We never sell your personal information.
Our clients' customers
When we run review requests, lead follow-up or ad campaigns for a client, we handle their customers' and leads' details on the client's behalf. In that case the client is the data controller and we act as their processor under a written agreement. If you are one of those customers, please contact the business you dealt with about your information.
Who we share it with
We use trusted service providers to run our business. They only use your information to provide their service to us:
- HighLevel (CRM, booking calendar, SMS and email automations)
- Stripe (payments)
- Google Workspace (email and documents)
- Instantly (business email outreach)
- Meta (when we run ads, and if you message us on Facebook)
- Netlify (website hosting)
- A specialist ad manager we subcontract for some client ad campaigns
Some of these providers store data outside the UK, mainly in the United States. Where they do, transfers are protected by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK–US data bridge.
How long we keep it
- Enquiries and sales calls that don't become clients: up to 2 years from our last contact.
- Business contact details used for outreach: until you opt out, or up to 2 years from our last contact. If you opt out, we keep only what we need to make sure we don't contact you again.
- Client records: for the length of our agreement and 6 years afterwards, for tax and legal reasons.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or move it to another provider. You can object at any time to us using your information for marketing, and we will stop. Email tom@axelmedia.co and we will reply within one month.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. We'd appreciate the chance to put it right first.
Cookies
Our website only uses cookies that are needed for it to work, including cookies set by our booking calendar when you book a call. We don't use advertising or analytics cookies. If that changes, we will update this policy and ask for your consent before setting them.
